Wedding & Event Catering Initial Terms & Conditions

1. Scope & Hierarchy of Terms
These Terms & Conditions apply to all enquiries and provisional bookings for wedding and event catering made via the Vine & Dine website or other initial communication channels.
Once a booking is confirmed, the terms agreed in the booking confirmation, proposal or formal contract shall take precedence over these website Terms & Conditions.

2. Definitions
“Company” means Vine & Dine.
“Client” means the person or organisation booking the services.
“Services” means wedding catering and event catering provided by Vine & Dine at venues other than private residential homes.
“Event” includes weddings, corporate events and private events.

3. Bookings & Confirmation
A booking is confirmed only once the Company has received the agreed deposit and issued written confirmation. Written confirmation may be provided by email or other agreed digital communication.

4. Deposits & Payments
A non-refundable, non-transferable deposit is required to secure the event date. The remaining balance must be paid in accordance with the payment schedule agreed at the time of booking.
Failure to make payments by the agreed dates may result in cancellation of the booking by the Company.

5. Guest Numbers
Final guest numbers must be confirmed by the Client by the date specified in the booking agreement. This number will be used for staffing, ordering and pricing purposes and cannot be reduced after confirmation.

6. Cancellations by the Client
The following cancellation charges apply to weddings and events:

More than 120 days before the event: deposit retained

119–60 days before the event: 50% of the total agreed fee

59–30 days before the event: 75% of the total agreed fee

Less than 30 days before the event: 100% of the total agreed fee
Cancellations must be confirmed in writing. These charges reflect costs incurred, staffing commitments and loss of business.

7. Changes to Bookings
Any changes to menus, timings, service style or event details must be agreed in writing. Changes may result in additional charges.

8. Venue Access & Facilities
The Client is responsible for ensuring suitable access, kitchen facilities, power supply and safe working conditions are available as agreed. The Company reserves the right to adjust service where venue conditions differ materially from those confirmed in advance.

9. Third-Party Suppliers
Vine & Dine accepts no responsibility for the actions, performance or failures of third-party suppliers appointed by the Client or the venue, including but not limited to venue-recommended suppliers.

10. Food Safety & Leftovers
Food is prepared in accordance with food safety legislation. Any food remaining after service may be left at the Client’s request but must be consumed or disposed of within 90 minutes. Any food retained beyond this period is entirely at the Client’s own risk.

11. Force Majeure
The Company shall not be liable for failure or delay in performing its obligations where such failure or delay results from events beyond its reasonable control, including but not limited to severe weather, fire, flood, pandemics, government restrictions, supplier failure or industrial action.

12. Liability
The Company’s liability for any claim arising from the Services shall be limited to the total fees paid by the Client to Vine & Dine for the relevant event. The Company shall not be liable for indirect or consequential losses.

13. Governing Law
These Terms & Conditions are governed by the laws of England and Wales, and the courts of England and Wales shall have exclusive jurisdiction.
